On the document
The piece, named — title or slug, so the editor recognizes it instantly
The basis: per word with the count, or per piece at the agreed rate
The rights conveyed — first serial, exclusive web, work for hire
Rush fees as their own line, agreed before the rush
The acceptance date — payment terms should run from acceptance, not publication
Your contributor or vendor ID, if the publication assigned one

Invoice on acceptance, not publication
Pieces can sit unpublished for months; your rent can't. "Payment due 30 days from acceptance" is the standard worth defending, and your invoice terms are where it lives.

Put the rights on the invoice
"First North American serial rights" or "exclusive web, 90 days" on the line item makes the invoice a record of what was licensed — useful the day the piece shows up somewhere it shouldn't.

Charge for the rush
A 48-hour turnaround is a real cost — quote a rush fee when the deadline is named, and bill it as its own line. Unbilled rushes quietly become your standard speed.

Questions, answered

Per word or per piece on the invoice?

Match the commission. Per-word work shows the count and rate so the math checks; per-piece work shows the flat fee. Either way, name the piece — editors approve invoices they can place.

What if the piece never runs?

You're owed for acceptance, not publication. If the piece was accepted, invoice in full; if it was killed after commissioning, invoice the kill fee your agreement set — commonly 25 to 50%.

How do I invoice a magazine or content agency?

Ask where invoices go — often an AP inbox or a portal, not your editor — and include any contributor ID they assigned. A correct invoice in the wrong inbox ages just as badly as a wrong one.

Can clients pay a writing invoice by card?

Here, yes — turn on "Get paid online" and the invoice carries a pay page where card or bank transfer both work. Smaller clients especially pay faster when paying takes a minute.
